Privacy & Data Retention Policy

Liberia National Police Academy Training School ("LNPATS", "we", "us") operates the online Police Recruitment and Recruit Database portal. This policy explains how we collect, use, store, and protect personal information submitted by applicants, recruits, and authorized staff.

1. Who this applies to

  • Applicants who register and submit recruitment applications
  • Recruits enrolled through the academy who access training records and transcripts
  • Staff with authorized accounts (reviewers, instructors, administrators)
  • Public users who verify application or recruit numbers via the verification portal

2. Information we collect

Depending on your role and activity, we may process:

  • Identity and contact details (name, email, phone, address, national ID)
  • Application data (education, employment history, declarations, photographs)
  • Uploaded documents (certificates, clearance letters, medical reports, etc.)
  • Recruitment workflow data (status history, reviewer notes, screening and medical results)
  • Academy training records (course assignments, grades, transcripts)
  • Account data (login credentials, profile photo, last login time)
  • Technical logs (audit trail of administrative actions, IP addresses in server logs)

3. How we use your information

We use personal data solely for legitimate recruitment and academy operations, including:

  • Processing and evaluating police recruitment applications
  • Communicating application status, document requests, and decisions
  • Managing recruit training, grades, and official transcripts
  • Verifying the authenticity of application and recruit numbers
  • Maintaining security, audit compliance, and system administration

We do not sell applicant or recruit data to third parties.

4. Legal basis & confidentiality

Data is processed in connection with public recruitment and national police service functions. Access is restricted by role-based permissions. Only authorized personnel may view sensitive records. Applicants and recruits should keep login credentials confidential.

5. Document & file storage

Uploaded files are stored on servers controlled by LNPATS. Documents may include highly sensitive personal information. Do not upload files belonging to other persons without lawful authority.

6. Data retention

Unless a longer period is required by law or active investigation, we retain application and recruit records for approximately 7 years after:

  • A final recruitment decision (approved, rejected, or withdrawn), or
  • Discharge or formal closure of a recruit service record

After the retention period, records may be archived or securely deleted in accordance with institutional policy and applicable Liberian regulations. Anonymized statistical reports may be retained longer.

7. Your rights

You may request:

  • Access to personal data we hold about you
  • Correction of inaccurate information (via your account or by contacting us)
  • Information about how your data is used

Some records cannot be deleted while an application is under active review or while you remain an enrolled recruit or serving officer, because they form part of official recruitment and training files.

8. Cookies & sessions

The portal uses session cookies to keep you signed in securely. We do not use third-party advertising trackers. Session data is stored in our application database and expires after a period of inactivity.

9. Third-party services

Optional features (such as the AI recruitment assistant) may send questions to external API providers if configured by administrators. No OpenAI or external AI service is used unless an API key is explicitly configured in system settings.

10. Security measures

  • Role-based access control for all staff functions
  • Encrypted passwords and optional two-factor authentication
  • Audit logging of sensitive administrative actions
  • HTTPS recommended for all production deployments
